Description:

The Women’s Basketball Administrative Associate provides high level administrative support to the head women’s basketball coach by providing a variety of administrative and operational duties for this fast-paced, high-energy office. This position supports the head coach in managing her/his daily schedule by planning and scheduling meetings, conferences, teleconferences; coordinating and securing travel arrangements for the head coach and the coaching staff (air, ground and lodging), securing travel for head coach’s family to away games and tournaments; securing arrangements for student-athletes’ personal travel; working with the recruiting coordinator to oversee travel arrangements, agenda and schedule for official and unofficial recruiting visits and to manage the organization of NCAA required post-official visit documentation by insuring accuracy and providing timely submission to the Compliance Office; organize and administer home game and tournament ticket distribution for coaches, recruits and their families; oversee senior day/player recognitions; and is relied upon to work with the director of basketball operations to coordinate game day activities along with recruiting, donor and special women’s basketball events and assist with the organization and participation of the team’s charitable promotions/community service activities. This position will interact regularly with the program’s season ticket holders and donors both on the phone and at program events. This position handles and maintains confidential files, data, and student-athlete information and will assist in the management of the recruiting database using the database to export information, merge letters, make contact lists, produce labels, and prepare group emails and create content for social media and recruiting. Additionally, this position manages the business operations of the women’s basketball department including: oversight and monthly review of the department’s budget by working with the division’s business office, directing an preparing department monthly credit card reconciliation reports for multiple credit card holders; maintain inventory, functionality and procurement of department office supplies, equipment and services; verify invoices and receipts and submit payments through the Runway e-procurement system.
This is a 12 month, full time, benefit eligible position. All University of Dayton Athletics employees are expected to comply with all laws, policies, rules and regulations governing the University, the NCAA and the Atlantic 10 Conference.

Minimum Qualifications:

– High School completion plus additional post secondary classwork
– 5+ years of full or part time experience in a professional or corporate office or comparable athletic environment
– Must have the experience and ability to manage and respect confidential data and records.
– Proficient in office practices, processes, and Microsoft Office software particularly Word, Excel and Access
– Able to successfully execute duties and assigned projects in a high energy, demanding work environment
– Experienced at scheduling and coordinating professional travel arrangements
– Able to work evenings and weekends as necessary

Preferred Qualifications:

– Bachelors Degree
– Experience in collegiate basketball as a former student-athlete or support staff.
– Experience in executive calendar management
– Strong working knowledge and experience with Adobe Suite software programs including – premier, photoshop, illustrator, and/or Final Cut Pro
– Proficient in photography and videography
– Current with the latest social media trends
– Knowledge of NCAA rules and regulations and/or experience with college athletics
